Turn builder meetings into reviewed action records

AI can turn a recorded builder meeting into a first draft of decisions, open questions, owners and document updates. The recording is source material, nothing more. A person who was in the room verifies plan references, selection status, allowance language, dates and commitments before the notes enter the project record or reach a buyer.

Which meetings are worth capturing?

The ones where information changes hands and someone has to act afterward. A preconstruction meeting settles who supplies site documents, which plan set is current and what stays open before permit submission. A selections meeting produces decisions, alternates and vendor questions. A site meeting turns up a detail that needs a revised drawing, not a casual note.

Do not record because the tool makes it easy. Decide what record the meeting has to produce. A short trade coordination call needs three assigned actions. A plan review needs a decision log tied to sheet references. A buyer meeting needs a plain-language recap and a separate internal list of questions that must not be sent.

What do the capture instructions say?

Project identifier, meeting type, approved vocabulary and required output. The agent separates confirmed decisions from proposals, questions and background talk. When the speaker says "we could move that wall," the note does not become "wall relocation approved." That line protects the field and the buyer.

How does AI keep decisions apart from discussion?

With explicit categories. "Discussed," "proposed," "approved" and "released" are not synonyms. The agent quotes or closely paraphrases the decisive statement. It attributes a speaker only when the recording is unambiguous or an attendee confirms the turn. It marks uncertainty when identity or authority is unclear.

Dates get the same discipline. A superintendent saying a trade is expected next week is not making a buyer commitment. A vendor lead-time remark is not a confirmed install date. The notes keep the qualifier and route the item for confirmation.

How do the notes handle plan and spec references?

They carry sheet numbers, detail labels, room names and spec sections whenever speakers give them. The reviewer checks each reference against the current set. If the meeting used an old sheet number, the record flags the mismatch instead of silently translating it.

For selections, tie the item to your category name and status vocabulary. "Tile picked" is not a record. The notes show whether the conversation covered a preference, an approved selection, a vendor confirmation or a released order, and which allowance schedule line it touches. AI selections tracking starts from those controlled states.

What workflow turns a transcript into an approved record?

Two outputs: a working draft for review and an approved record for the project file. Keep them visibly different. A handsome summary can still be wrong, especially when speakers interrupt, use shorthand or point at something on site that the recording never captured.

  1. Set the meeting purpose. Project, meeting type, attendees, source documents and the expected record.
  2. Capture with consent. Check recording obligations with qualified legal counsel and the controlling sources. Check recording features with the provider. Follow your approved practice and keep a manual note path.
  3. Draft by category. Decisions, action items, open questions, plan references and documents that need revision.
  4. Check against sources. Sheet labels, specifications, selection records and prior approved decisions.
  5. Review with an attendee. Meaning, ownership, dates and any line that could read as a commitment.
  6. Distribute deliberately. Send only the version for that audience. Save the approved record in your system.

Your written process names who reviews each meeting type and where its record belongs. The build process documentation guide shows how to define those handoffs before you add an agent.

What never appears in meeting notes on its own?

A new scope, approval, payment decision, completion promise, warranty determination or field directive. The agent may record that people discussed those matters. It may not decide an outcome the meeting did not.

Keep out unrelated personal information and access credentials. Keep private internal observations out of a buyer-facing recap. If a transcript holds conflict, speculation or a personnel issue, route it to the right reviewer instead of copying it across the project file.

Can the agent send the recap?

Drafting and sending are separate permissions. Start with reviewed drafts. The person approving the recap confirms recipients, attachments and whether the note belongs in email, the project system or an internal decision log. The AI boundary guide explains why external commitments stay with people.

How do meeting notes connect to the rest of the operation?

Approved notes update the system that owns the work. A selection decision goes in the selection record. A plan conflict goes in the revision path. A punch item goes on the controlled punch list. The same decision pasted into several unlinked summaries becomes several competing versions.

A meeting-note workflow can feed a reviewed buyer update without becoming the update. Field notes and approved decisions support the draft described in AI weekly buyer updates. A person still checks current conditions and commitments. The AI for builders library covers the related workflows.

In the AI operations stage we define the source, output, reviewer, prohibited actions and manual fallback. Our Claude and Codex agent fleet transcribes, organizes, drafts and checks. People set the rules and approve what becomes part of the project record.

What else gets asked about AI meeting notes?

Should every meeting be recorded?

No. Record a builder meeting when your approved practice permits capture and the meeting will produce a defined record. Keep a manual note option.

Can AI identify who owns each action?

It can capture an owner stated in the meeting. If nobody was assigned, it marks the item unresolved instead of choosing someone.

What if the transcript gets a construction term wrong?

An attendee corrects it against the plan set, the specification or the controlled vocabulary before approval. The error never flows into another record unchecked.

Can the same notes go to staff and buyers?

No. Create separate reviewed recaps. Internal notes carry routing, open questions and private controls that do not belong in buyer communication.
