Run a spec home open house without guessing at the facts

A spec home open house needs one verified project sheet, a safe public route and hosts who know the limits of what they can promise. Confirm installed selections, current status, showing access and inquiry paths before you open. Record each visitor's actual question, then route plan, lot, option and representation issues to the responsible person.

Is the spec home ready for public access?

Ready to photograph is not always ready to host. Walk the house with the superintendent and start outside. Check the road approach, parking surface, grade, temporary steps, walkways and neighboring work. Inside, confirm lighting, climate, floor protection, handrails, doors, stored material and the rooms that must stay closed.

Check visitor-access conditions with your local permitting authority and your insurer before you announce an opening. Have your field lead verify the proposed route and close any area that is not ready.

The spec home marketing guide covers a spec home from permit through closing. This runbook covers the open-house window itself.

Which facts must hosts have in hand?

Build one showing sheet from approved sources. It names the current plan revision, the installed selections, known option status, project availability, showing instructions and the people who review technical questions. Date the sheet and pull old versions out of the house.

Separate facts from questions that need review

Remaining changePublished change-request processField, estimating and contract review
Lot or gradeApproved project descriptionConstruction or site owner

Do not reuse a prior spec's sheet because the plan looks similar. Small changes in windows, trim, appliances, site work or allowance treatment are exactly what later disputes get built around.

How should the open house be staged?

Stage for comprehension, not decoration alone. Visitors should understand the approach, the main circulation, storage, private-room separation and the relationship to outdoor space. Keep the current plan visible where it helps orientation. Label installed selections accurately and remove samples that do not belong to this house.

Use signs sparingly. A short card can explain why a pantry connects to a prep zone or how the garage entry handles daily storage. Skip claims the plan, the spec or the field record cannot support.

Run the opening check in order

  1. Drive the arrival route and confirm every directional sign.
  2. Walk the public path with the field owner and close restricted areas.
  3. Place the current plan and selection material, then remove stale copies.
  4. Test lights, climate, form submissions, codes and call routing.
  5. Review host roles, technical boundaries and emergency contacts.
  6. Submit a test inquiry and confirm it reaches the record you own.

Put one person at the entrance and another on substantive project conversations when staffing allows. If one host covers both, agree on a way to pause a detailed discussion while new visitors come in.

What should hosts ask visitors?

Start with the house. Ask what brought the visitor in or which part of the plan they are studying. If the conversation develops, ask about lot status, desired area, build direction and representation when relevant. Do not turn the foyer into an interrogation.

Capture the question in the visitor's words. "Asked if the rear porch can screen without changing the roof line" is useful. "Likes outdoor living" is weak. The first note gives design and estimating something to review.

Use the builder event sign-in workflow to connect those notes to a respectful form. If the open house is for industry partners, use the more focused realtor preview plan.

How should active buyer questions be handled?

A public open house is a poor place to improvise plan changes, selection deadlines or contract interpretations. Hosts explain the review path, record the request and name the person responsible for the next answer.

Do not promise from an unfinished condition

A missing fixture does not prove a buyer can choose another one. An open wall does not make a layout change simple. A trade that has not arrived does not mean a selection is still available. Feasibility depends on approved documents, ordering, field sequence and the contract path.

For represented buyers, follow your documented inquiry and registration process. The host should not settle a disputed registration at the kitchen island. Record the facts presented and route the matter.

What happens after the last visitor leaves?

Close the house with the same discipline you used to open it. Reconcile visitors and staff notes, assign promised answers and check the building before you leave. Remove temporary signs, secure documents and devices, restore protected areas and report damage or field issues.

  • Confirm every promised reply has an owner.
  • Update the project record with repeated questions.
  • Log sign, access, device or route problems.
  • Check that public status and showing details are still current.
  • Separate genuine project inquiries from vendors and unrelated contacts.

The Lead attribution stage keeps the open-house source, the project, the form and the later pipeline state connected without treating every visit as a sales result.

Our Claude and Codex agents organize approved notes, draft factual replies, build project-page corrections and check links. A person verifies the house record, approves communications and makes every decision that could affect plan, field or contract expectations. The related planning, sign-in and follow-up systems are in the events and showings library.

What do builders ask before a spec open house?

Can an open house happen before final completion?

Before you plan a spec open house in an unfinished home, check visitor-access conditions with the local permitting authority and your insurer. Have your field lead review the proposed route.

Should visitors receive a printed specification?

Give spec open-house visitors a current, approved specification that matches the installed work. Use a maintained project page when a printed sheet would go stale.

Can hosts discuss buyer changes?

Open-house hosts can explain how buyer change requests are reviewed. Route feasibility, product availability and contract treatment to the responsible plan, field and estimating reviewers before anyone promises an answer.

What should be recorded after the open house?

After a spec open house, keep visitor questions, promised next actions, source details and operational issues. Assign any correction needed on the project page or the showing sheet.
