Give buyers one clear communication path from contract to close

Contract-to-close communication works when every stage has an owner, a current source document, a predictable update rhythm and a defined exception path. Buyers know what happened, what happens next, which decision they own and where approvals live. Field facts come from responsible people, then enter one controlled buyer-facing record.

What should happen right after contract?

Hold a project kickoff that turns the signed agreement into an operating file. Confirm contact roles, approved communication channels, current plan and spec versions, the allowance schedule, the selection path, the site-access process, the update rhythm and the escalation route. Do not assume the sales conversation carried every detail to design, office and field.

Write a project communication sheet, drawn from your operating profile, that answers five questions: who sends the regular update, who receives it, where decisions get approved, how urgent site questions are handled, and which documents control the work. Include buyer-agent or lender contacts only where the project process calls for them.

The handoff keeps the promises and open questions from the sales file. Use the builder proposal record to keep scope assumptions visible across the contract-to-project transition.

Which updates belong at each stage?

Communication changes with the work. During design, the buyer needs revision status and decisions. During construction, the buyer needs verified progress, open constraints and approaching selections. Near closing, the focus moves to orientation, punch status, documents, access and warranty intake.

Warranty transitionIntake method, records and review pathWarranty document and service procedure

Do not forward raw field notes as a buyer update. Confirm the facts, strip the internal shorthand, name the decision owner and say what is still uncertain.

How does communication ownership move between stages?

Review the communication sheet at every stage change. Identify the outgoing contact, the receiving role, the current documents and the unresolved questions. Tell the buyer which channel stays active and who now owns the next answer. Keep the outgoing owner attached until the receiving role confirms the handoff.

  1. Name the transition. Identify the completed phase and the decision that opens the next one.
  2. Confirm the record. Attach current plans, specs, selections and the approved change register for the receiving team.
  3. Transfer open questions. Give each unresolved item a source, a responsible reviewer and a next review point.
  4. Check the recipients. Confirm which buyer, adviser or outside contact should get the next stage's messages.
  5. Explain the new contact path. State who owns routine questions, urgent issues and formal approvals.
  6. Confirm receipt. Ask the receiving role to check access, documents and assigned actions before the outgoing role closes the transfer.
  7. File the handoff. Keep the stage change and the buyer notice in the project record.

Use the weekly buyer update workflow to prepare recurring messages inside a stage. The handoff sheet carries ownership across stages and points to those updates.

Where do AI agents fit in the communication cycle?

Claude and Codex agents on our side assemble notes, compare open items, draft updates and check that required sections are present. A person directs the work and reviews every output. The superintendent or other responsible role still validates field facts, and an authorized person approves commitments.

The AI operations stage documents inputs, permissions, review gates and fallback before an agent touches active-project communication. For the whole sales sequence, see the sales-process library.

How do you communicate delays and exceptions?

Tell the buyer when a verified exception affects their project, not when the team has heard a rumor. State what happened, which activity is affected, what the team is doing, what decision is needed and when the next reviewed update will arrive. Separate a material delay from a sequence adjustment the field can absorb.

Weather, permit review, material availability, inspection findings and trade coordination each affect work differently. Do not use one generic "delay" template. Name the actual dependency and the responsible source. Do not predict an outcome before the responsible people have checked the recovery path.

When the exception creates a scope question, use the controlled path in change-order communication. When it changes a buyer decision, update the selection or approval record too.

What changes as closing approaches?

The update rhythm gets more task-specific. Confirm orientation timing, access, utilities or documents handled by the parties, punch classification, completion checks and the warranty handoff. Use the language and responsibilities in the governing documents. Do not invent a new checklist that conflicts with them.

Separate orientation from acceptance, punch work and warranty service according to your process. Buyers should know where each item goes, who reviews it and how status will be communicated. A verbal list made during a walk is not a controlled record.

The closing and move-in guide covers the handoff itself. The warranty and aftercare guide shows how public pages can prepare buyers for service intake without unsupported promises.

What do builders ask about project contact roles?

Should the superintendent send every buyer update?

A superintendent can supply verified field information while another role sends contract-to-close messages. Name the sender and have each responsible role confirm its own facts.

What belongs in an urgent message?

An urgent project message states the verified issue, the affected decision or access need, the required response and the responsible contact. Record the result in the controlling project file.

How should buyer replies be stored?

Keep buyer correspondence during contract-to-close communication. Move approvals, selections, requests and changes into the matching project records with their reviewed status.

Can project updates be automated?

AI agents can prepare contract-to-close drafts from approved sources. A person verifies field facts, resolves conflicts and approves any statement that creates an expectation or a commitment.
